5.          Active Sourcing of Candidates

Executive search frequently requires us to identify suitable candidates who have not applied for a particular role.

Accordingly, we may identify individuals using publicly available professional information published on platforms such as LinkedIn or other professional networking sites.

Where this occurs:

·             we limit collection to professional information strictly relevant to recruitment;

·             we create an internal candidate profile within our Applicant Tracking System (Loxo);

·             we take reasonable steps to notify the individual that we have collected their personal information;

·             we provide the individual with access to this Privacy Policy and our Candidate Privacy Collection Statement; and

·             we seek the individual's express consent before presenting their identity or personal information to any client.

We do not disclose a candidate's identity, resumé or profile to a client without obtaining the candidate's express verbal or written authority for the relevant position.

6.               How We Use Personal Information

We use personal information for purposes including:

·             executive search;

·             recruitment;

·             candidate assessment;

·             talent pooling;

·             reference checking;

·             arranging interviews;

·             communicating with candidates;

·             communicating with clients;

·             verifying qualifications;

·             compliance with legal obligations;

·             improving our services; and

·             operating our business.

We do not sell personal information.

As part of our executive search services, we may identify and approach individuals who have not registered with us where we reasonably believe they may be suitable for a role. Information obtained from publicly available professional sources will be handled in accordance with this Privacy Policy and applicable privacy laws.

7.          Disclosure of Candidate Information

Except where otherwise authorised by law, we will generally seek a Candidate’s consent before providing their résumé, curriculum vitae or other identifiable candidate information to a client for consideration for a specific position.

We may disclose personal information to:

·             referees;

·             background screening providers;

·             skills assessment providers;

·             professional advisers;

·             regulators;

·             insurers;

·             technology providers;

·             cloud service providers; and

9.               Technology Platforms

To deliver our recruitment services we use a number of specialist technology platforms.

These presently include:

·             Squarespace for website hosting;

·             Loxo as our Applicant Tracking System (ATS) and candidate relationship management platform;

·             Microsoft 365 for email, document management and business communications.

These providers may store or process information outside Australia.

These cloud service providers and technology platforms may store, process or host data on servers located outside Australia, primarily in the United States of America. Where personal information is transferred or disclosed overseas, we take reasonable steps to ensure that the recipient handles the information in accordance with applicable privacy laws and maintains equivalent security standards. By engaging our services, you consent to the transfer and processing of your information in these overseas jurisdictions.

10.       Automated Processing

We use recruitment software to assist our consultants in organising and managing candidate information.

This may include:

·             resumé parsing;

·             keyword searching;

·             skills categorisation;

·             profile matching;

·             database searching; and

·             candidate ranking.

These tools assist our consultants to identify potentially suitable candidates.

Recruitment decisions are not made solely by automated means. Human review forms part of every recruitment process before candidates are shortlisted or presented to clients.

11.       Confidentiality and Client Services Agreement

Candidate information disclosed to clients is strictly confidential. Clients who receive candidate information (including résumés, profiles, or candidate summaries) are contractually bound under our Client Services Agreement to:

·             use candidate information solely for the specific recruitment purpose authorised by us;

·             maintain absolute confidentiality and not disclose candidate details to any third party, subsidiary, or related entity without our prior written consent; and

·             comply fully with all applicable privacy laws.

12.       Security

We implement reasonable technical, physical and organisational safeguards designed to protect personal information.

These include:

·             encrypted communications where appropriate;

·             multi-factor authentication;

·             role-based access controls;

·             secure cloud infrastructure;

·             password protection;

·             staff confidentiality obligations;

·             staff privacy training; and

·             secure destruction procedures.

No method of electronic transmission or storage is completely secure and we cannot guarantee absolute security.

13.       Retention of Information

We retain personal information only for as long as reasonably necessary for recruitment, legal and business purposes.

When personal information is no longer required, we will securely destroy or de-identify it unless we are required or authorised by law to retain it.

·             exercise your 'right to be forgotten' by requesting that we completely purge, delete, or de-identify your personal information from our active Applicant Tracking System (Loxo) and other internal databases, where we are not required or authorised by law to retain it.
